Sales Follow-Up Brief: Turn Conversation History into a Grounded Next Step
Separate customer facts, internal interpretations and open questions before drafting a follow-up, with a localization enquiry example.
How can AI prepare sales follow-up material without inventing budgets or commitments?
A follow-up brief explains the customer's goal, confirmed agreements and next action. Microsoft's sales documentation groups emails, calls, meetings, notes and tasks in a record timeline. Keep your brief traceable to those original interactions.
Build a dated evidence trail
Record the customer or project ID, interaction date, participants, channel and source link. List stated goals, received materials and previously supplied information, including document versions.
When requirements change, identify the latest confirmation and what it replaces. An early assumption or isolated sentence should not silently become the current requirement or evidence of purchase intent.
Separate facts, interpretations and questions
Use three fields: confirmed, internal interpretation and ask next. Budget, decision maker, scope, dates and rights remain unknown unless supported by an explicit source.
“Interested in a Japanese-language option” does not mean “approved Japanese dubbing.” Internal interpretation can guide questions but should not appear in customer-facing text as an agreed fact.
Worked example: a localization enquiry
Suppose a prospect asks about Japanese subtitles for several videos and will provide rights documentation later. The target language is known; quantity, duration and permitted use remain unconfirmed.
A follow-up draft can request the missing material, ask about subtitle specifications and identify the review contact. Include information the parties agreed to exchange. Do not add an unsupported quote, deadline or rights confirmation. The assigned owner reviews the draft before sending.
Before the next follow-up
Center the brief on one clear next action and keep its owner and status visible.
- Correct customer, project and latest interaction.
- Source for each confirmed fact.
- Unknowns remain explicit.
- Current materials and intended recipient.
- Reviewer, sender and record location assigned.
Before you hand over the work
- Use AI to organize evidence and prepare drafts.
- Keep decisions, unknowns and next ownership explicit.
Demonstration projects and examples illustrate working methods. Follow the receiving party’s specifications and the scope agreed for your project.
